Introduction
This article discusses how to use order tagging in Tradebox to filter orders. Currently, this is only applicable to the following webstores:
- Shopify
Order Tagging is a way to filter orders from the same website into different channels in Tradebox, allowing them to be posted to an accounts package with different rules applied. This could be website orders that you wish to split between Retail and Trade sales, or, you may have Point of Sale orders (POS) that occur in different physical stores that you wish to present in Sage separately.
In the Trade/Retail example, a user may allow credit on Trade orders and want these orders to be allocated to an existing customer record in their accounts software, creating a sales order or an invoice that is unpaid and awaiting manual collection by credit control. Conversely, a user may want paid Retail orders to be allocated to a single generic customer account and create a sales order or invoice that is marked as paid.
In the POS example, a user may wish each store's sales to be allocated against its own unique customer account in Sage, with invoices allocated to different Sage bank accounts.
The Order Tags option in the sales channel allows the user to create multiple channels in Tradebox to the same website but only download orders that contain specified tags on the ORDER. It is important to note that this is a tag on the website order NOT the website customer record. Once the filter has been applied in the channel using order tags, the accounts integration can be tailored to suit the users business needs.
Setting up Order Tags
To set up an Order Tag, go into the Channel and from the Actions menu choose "Add Tag". This will allow you to manually add a tag in the Order Tag section. There is a menu underneath that allows the user to apply a rule to either:
- Only import orders with these tags
- Ignore any orders with these tags.
To ensure that there is no overlap, each channel would need to be filtered with the tags you want to import. If a Shopify order doesn't have an order tag it will not be imported if tagging is implemented.
