Reconfiguring Tradebox to move from Sage 50 Accounts integration to Xero Accounts is pretty straightforward and basically involves uncoupling each Sales Channel from Sage 50 and pointing the channels to Xero Accounts. The following article describes the best methodology for this.
1.If you are moving to Xero integration you MUST first upgrade your Tradebox to the latest version of the Tradebox software.
2. Decide on a transition date. This is the date that the last online orders will be downloaded and passed from Tradebox to Sage 50. This requires ALL orders on this date, from ALL channels, to be downloaded and posted to Sage 50. To assist, you can apply a setting in each channel called, "Ignore Orders Dated After". If your transition date is 31st March 2026, you can set the "Ignore Orders Dated After" feature in each channel to 31/03/2026. This ensures that only orders up to and including 31/03/2026 are downloaded into Tradebox.
3. All orders left in Tradebox all need to be posted to Sage 50.
4. Take a backup of Tradebox and save it somewhere safe!
5. Go into the Sage integration in each channel and make a note of the settings, i.e. what type of transaction you are creating, bank accounts, nominal codes, customer creation types, default customers etc. These elements, or the equivalent, can then be set up in Xero Accounts.
6. Once happy, you can then remove the Sage 50 Integration from Tradebox. Firstly, you will need to check if Stock Control is slaved to Sage 50. To do this, click on Configuration > Stock Control. If Stock Control is slaved to Sage 50, change the setting to No Products and then click on Save. Then reboot Tradebox.
7. After Re-opening Tradebox click on Configuration > Stock Control and check the Stock Control is setting is No Products.
8. Click on Configuration > Accounting and change the "Accounts Software" setting to Xero and the "Posting to Accounts" setting to Manual and then Save.
9. The software will prompt you to confirm this change, click Yes.
10. The Sage integration settings will now be removed from all Sales Channels.
11. Firstly, go into each channel and change the "Ignore Orders Dated After" setting to 31/12/2099.
12. Then configure the "Ignore Orders Dated Prior To" setting to ignore all orders the day AFTER the transition date, i.e. 01/04/2023.
13. The Xero integration needs to be setup in each channel.
14. If this is the first Xero accounts link you've created for a specific Xero organisation, you will be prompted to import your contacts from Xero at this point. You can export a file of your Xero contacts following these instructions. This is a vital element of the upgrade.
15. All orders downloaded will now be configured to be sent to Xero. Remember, the posting is set to MANUAL. This is to allow you to ensure you are only sending new orders to Xero. This setting can be changed in Configuration > Accounting by changing the "Posting to Accounts" setting to Manual and then clicking Save.
