Auto matching allows you to automatically allocate each buyer on an order to:
- An existing customer record in Sage 50, OR
- Create a new customer record in Sage 50.
Each time Tradebox downloads a new order, it can search through your existing Sage 50 accounts and look for a matching customer. This is based on:
- Email address (email 1 in Sage)
- Billing post code
If Tradebox finds an exact match for both parameters, it will automatically allocate the new sale to the existing Sage customer. This can potentially slow down the operation of the software.
If Tradebox does NOT find an exact match for both parameters, it will automatically create a new customer account in Sage 50 based on the Account Reference Generation options set up in the channel.
NOTE 1: This system can never be 100% accurate. This is because customers with existing accounts in Sage may purchase using a different email address to that stored in Sage 50. In this scenario, a new customer account would be created in Sage.
NOTE 2: If you have a high volume of existing customer records in Sage 50, checking the emails and postcodes against every existing customer can take time.
Set Up
- In Tradebox, go into the Channel, select the Sage 50 > Customers.
- From Customer Creation Options choose Create individual customers for each unique buyer.
- Tick the Auto Match to Existing Sage Customer
- Apply the Account Reference Generation
- Mask
- @@@@@ = number of characters from the primary field
£££ = incremental number
For example if Tradebox was the customer and the mask was @@@@@£££, the Account Reference created in Sage 50 would be TRADE001.
- Mask
- Click Save.
