Recently Amazon updated their privacy policy concerning how they handle personally Identifiable Information (PII). This policy has now been extended to affect all Amazon integrators like Tradebox. In order to stay compliant, Amazon require Tradebox to remove all PII from Amazon orders stored in the Tradebox program 30 days after the order was marked as shipped.
This change will take affect in all builds of Tradebox One from version 1.2 onwards.
This means that 30 days after an Amazon order has been marked as shipped, PII such as billing and shipping information will be removed from the order in Tradebox. All billing and shipping names will be replaced with the placeholder, "Not Provided".
The Amazon order in Tradebox will still retain the order information such as the order number, purchase date, shipping date, Items purchased and values of each item sold, including a VAT breakdown of each item sold. The order will also be linked to any invoices created in an integrated accounts package, where applicable. Users will also be able to access the order directly on Amazon using Amazon order number.
Continued use of the Tradebox software denotes the acceptance of a Data Privacy Agreement between Tradebox Limited and users of the Tradebox software where the user warrants that, "All Personally Identifiable Information (PII) from Amazon orders will be retained only for the purpose of, and as long as is necessary to fulfil orders (no longer than 30 days after order shipment), or to calculate/remit taxes. If third parties are required by law to retain archival copies of PII for tax or similar regulatory purposes, this archived Amazon Information must be stored as a "cold" or offline (e.g., not available for immediate or
interactive use) backup stored in a physically secure facility, and all archived data on backup
media must be encrypted"
This Data Privacy Agreement now forms part of the updated terms of the Tradebox End User Licence Agreement.
