As of 1st March 2023, we are making significant changes to our current integration with Xero which will require you to update your program and re-authorise the Xero connection.
We have added a number of improvements to speed and functionality, in addition to supporting multiple organisations in Xero for the first time, but the biggest benefit existing users will see in these upcoming changes is that the Xero token will no longer expire every 30 days and need to be manually renewed. Users will need to re-authorise the connection to Xero one final time on upgrading, and then following that the connection will be permanent.
Please follow the steps below to update Tradebox and re-authorise the Xero connection.
To Update Tradebox
First of all, check your existing Tradebox program version number by clicking Support in the top right of the program, and choose the appropriate option from the links below:
Any other version number beginning 1.2 or 1.3 - For users on significantly older versions of Tradebox, this will be a 2 step process to bring you up to the latest version of 1.3 before proceeding to upgrade to Tradebox version 2, which is compatible with the new Xero changes.
If you have Tradebox installed on multiple machines, you must run the upgrade on the machine which holds the database first, before proceeding to the other machines. Tradebox must be updated on all machines to ensure continued use of the Xero integration.
Please contact Tradebox support on 0191 257 4707 or by email at support@tradebox.uk.com if you need assistance with the upgrade process.
To Re-Authorise the Xero Connection
Once Tradebox has been updated, you can now reconnect Tradebox to Xero through a simplified process.
To begin, go to the Channels section in Tradebox and double click the first channel in the list, then go to the Xero tab. You'll see a pop up message:
Click OK, and a Xero login page will open up:
Enter your email address and password for Xero and click Log In.
Next, the web page will display a list of permissions that Tradebox requires, and either prompt you to allow access or to continue with x organisations, depending on how many organisations you have in Xero and whether they have been connection to Tradebox before.
Click Allow Access/Continue with x organisations to proceed.
Once that process has completed, the window will inform you that Tradebox has successfully connected to Xero and you may safely close the browser.
You will then be taken to the Connection page of the Xero set up wizard:
If you only have one company connected, this will be automatically selected in the Organisation drop down, or you can click into it and choose the appropriate organisation. Then, click Connect to Xero and Retrieve data.
This will open up the rest of the tabs which contain your settings for Xero. All of your settings will be retained, however we do recommend double checking just to be on the safe side.
Once you're happy with your settings, click the Save button in the bottom right of your channel.
This process will then need to be repeated for each remaining channel until they have all been reconnected.
